Wedding Exchange Rental Agreement
It explains the 70-day release window, permitted alterations, the 30-day return deadline, condition inspections, and how refundable deposits are resolved.
Rental and membership
The renter must maintain an active Wedding Exchange membership when requesting a ministry-owned rental. The rental is temporary and ownership remains with Ministries of Love Inc.
Wedding date and release window
The renter will provide an accurate wedding date. An approved item may be released or shipped no earlier than 70 days before that date, allowing time for fitting, permitted alterations, and replacement planning.
Rental fee and refundable deposit
The rental fee is nonrefundable once the item has been released, except where Ministries of Love cancels the rental. The separate security deposit may be refunded after a timely return and inspection. It is not a purchase payment.
Condition at release
Ministries of Love will document the item condition, included components, and photographs before release. The renter should promptly report shipping damage, missing components, or a material difference from that record.
Care and permitted alterations
The renter will use reasonable care and follow item-specific handling instructions. Alterations are allowed only when the listing expressly permits them. Unless written approval states otherwise, alterations must not intentionally destroy, permanently remove, or materially weaken the item.
Return deadline
The item must be shipped back, delivered, or otherwise placed in the approved return process no later than 30 calendar days after the wedding date. A carrier acceptance scan by the deadline counts as an on-time shipped return.
Return shipping and packaging
The renter is responsible for using the approved return method, adequate packaging, and accurate tracking information unless Ministries of Love provides different written instructions. The renter should retain the shipping receipt until the deposit is resolved.
Inspection and deductions
After return, Ministries of Love may compare the item with the release checklist and photographs. Reasonable documented deductions may be made for missing components, damage beyond ordinary wear, prohibited alterations, extraordinary cleaning, or repair costs. The renter will receive the inspection result and deposit decision.
Nonreturn and deposit forfeiture
If the item has not entered the approved return process within 30 days after the wedding, Ministries of Love may treat it as unreturned and retain the deposit after documenting the overdue status. Retaining the deposit does not transfer ownership of the item.
Cancellation and replacement
Availability cannot be guaranteed until a request is approved. If Ministries of Love cannot supply an approved rental, it may offer a replacement or cancel and return amounts collected for that rental. The renter should not make irreversible plans until approval is confirmed.
Communication and records
The renter agrees to receive account and transactional notices about approval, payment, delivery, return, inspection, and deposit resolution. Agreement acceptance, status history, checklists, photographs, and communications may be retained as rental records.
Questions and item-specific terms
